Setup Overview

The Setup section allows you to customize your database. This includes the following:

  • Setting up default fields for your school
  • Default Values
  • Displaying/hiding fields
  • Adding Custom fields
  • Teacher & Staff Settings
  • Enable / Disable Features
  • Setting up your school or parent group's PayPal Account
  • Customize the Verification Wizard 


Main Info

  1. Entity Type - This is selected for you when you signed up your school. If it is not accurate, please let AtoZ know.
  2. Entity Sub Type - This is also selected for you when you signed up your school. If it is not accurate, please let AtoZ know.
  3. Entity Name - There are three different fields for the Entity Name (Long, Short and Organization). Fill out each field on how you want your organization name to be displayed. The entity short name will be what your parents see when they access the software.
  4. Address, City, State and Zip - Complete the address fields if you would like to include this information. 
  5. Entity Email Prefix - Create an email prefix for your organization. This is a required email that most recipients will not see and acts as a behind the scenes email is simple used to send your email via our software.

Default Values

  1. Default City - Complete this field with the most common City of your Users. This field will automatically populate when a new family/user is added.
  2. Default State - Complete this field with the most common State of your Users. This field will automatically populate when a new family/user is added.
  3. Default Zip - Complete this field with the most common Zip of your Users. This field will automatically populate when a new family/user is added.
  4. Default Area Code - Complete this field with the most common Area Code of your Users. This field will automatically populate when a new family/user is added.
  5. NOTE: You can always override these fields if the information is different.  It will also override if you are importing a file.
  6. Default Access to Directory Until - Select a software access expiration date for your users. If you import a file or manually add a user, their access will automatically default to this date. Remember: You can always manually override the access date for each user. 
  7. OTHER (user type) Access to Directory Until - Select a software access expiration date for the users that are identified as OTHER.
  8. Volunteers Require Approval - If your school requires volunteers receive approval or possibly a background check prior to being given the ability to volunteer within the school, this is where you would set this option as a default.
    1. NO - Indicates the users can sign up for events (You can adjust your event settings to automatically approve sign-ups or require review before approving or denying sign-ups. This is done on the event level).
    2. YES - Indicates the users are not authorized to sign-up for events. Some school/organizations require a background check, screening, classes, and/or completed paperwork to allow users to sign-up for events to volunteer. Check with your school/organization for these requirement to determine the default setting. If users pass the requirements, you can update their status by going to Signups>Volunteer Approvals.

Show / Hide Fields

  1. Hide Middle, Nickname, Gender, Birth Date - Check the box if you wish to HIDE these extra fields for your users.  

Custom Fields

The system allows 8 custom fields to add to the Household and 5 on the User level. Custom fields are useful if there is additional information you need to capture from your household/user that is not included in the default fields. These fields will be visible to all of your users.  

  1. Households
    1. Household CF Name - Update the custom field with the appropriate name.
    2. Household CF  Description - Include a description if needed.
    3. Household CF Shown - Check this box if you want the custom field visible to the users. (Checking the box will hide the field but allow you, as the admin, to still capture the custom field's data).
  2. Users
    1. User CF  Name - Update the custom field with the appropriate name.
    2. User CF Description - Include a description if needed.
    3. User CF Shown - Check this box if you want the custom field visible to the users. (Checking the box will hide the field but allow you, as the admin, to still capture the custom field's data).

Staff Settings

  1. Staff & Teachers App Access Until - Select the appropriate software access date for all of your Teachers & Staff users. 
  2. Staff & Teachers Allow Email - Checking this box allows staff/teacher users to send emails through the system and upload to the Digital Backpack for their classroom. 

Enable / Disable Features

  1. Disable Menu Items - This allows you to hide certain sections of the app from your users. Check the boxes of as many sections as your desire. 
  2. Default App Page - Select from the drop down what page you wish to have your users directed to when they first sign into the app. This is set to the Directory page by default. 

Shopping Cart Settings

  1. Online Shopping Enabled - Check this box to activate the shopping cart feature.
  2. PayPal Active - Check this box to activate the PayPal payment option.
  3. PayPal Merchant Email - Enter the email address with your merchant PayPal account.
  4. Amazon Payments Active - Check this box to activate the Amazon payment option.
  5. Amazon Merchant Email - Enter the email address with your merchant Amazon account.

Wizard Settings

  1. Enabled - Check this box to activate the Verification Wizard.
  2. Wizard Tabs Enabled - Check the boxes to activate specific tabs for the Verification Wizard.    
    1. Welcome Tab - Intro page (we recommend activating this tab).
    2. My Info Tab - This includes the users name, address and additional info (we recommend activating this tab).
    3. Products Tab - Check this box to enable this tab so users can purchase products during the wizard.
    4. Cart Review Tab - Check this box if the Products Tab is enabled so users can view their shopping cart.
    5. Activities Tab - Coming Soon!
    6. Marketing Tab - AtoZ Advertising - Enable this tab based on your schools/organizations agreement if AtoZ is selling advertisements. 
    7. Marketing Tab - AtoZ Dedicated Emails - Enable this tab based on the location of your school/organization. 
    8. Marketing Tab - AtoZ Sponsor - Enable this tab based on your schools/organizations agreement if AtoZ is selling advertisements. 
    9. Volunteer Tab - Enable this this tab if there is an event available for the user to sign-up for.
    10. Review Tab - Allow the User to review their information (we recommend activating this tab).
    11. Finish Tab - Allow the user to Finish the Wizard and exit to the directory (we recommend activating this tab).
  3. NOTE: 
    Depending on the program you have with AtoZ, some sections of the Verification Wizard are required to stay active. Those tabs will be marked as "required" in red.
