How do I update users directory access?

You must update directory access for existing users in the People > Households section of the software. You can control user access for future imports or manually added families under the School Setup.

In this section we will show you how to update Directory Access for:


Updating Directory Access for one Household

  1. Use the search filter at the top the main Households page or use the search panel for advanced searches 
  2. Click the Edit button on the Households
  3. Scroll down to the bottom of the Household Edit page to the Access to Directory Until field. 
  4. Type in the desired date or use the calendar icon to select the date.
  5. Click Save to complete the changes and exit to the Household main page. 

Updating Directory Access for All Households in BULK

  1. Check a few boxes from the household list so the Update Selected button becomes available to select (you can also select the top button of this list to select all households on this page)
  2. Click on Update selected 
  3. The Update Selected pop-up will appear so you can update in bulk
  4. Check the Access to Directory Until box on the left 
  5. Update this field with the desired date manually or use the calendar icon to select the date 
  6. Click on Super Mass Update On which will update everyone (not just the households selected) so you do not need to go from page to page and repeat updating steps. 
  7. This will give you a warning to ensure you want to update all households.  
  8. Select YES,TURN THIS ON if you wish to continue

Updating Members Only Directory Access (if you use our software for tracking membership)

  1. Use the search panel to find all of the members in your software
  2. Update the Is Member search field with YES
  3. Click Search 
  4. Repeat steps 1-8 under Updating Directory Access for ALL Households in BULK 
  5. The Super Mass Update will update all households based on your search 

Updating NON-Members Directory Access (if you use our software to track membership)

  1. Use the search panel to find all of the NON members in your software
  2. Update the Is Member search field with NO
  3. Click Search 
  4. Repeat steps 1-8 under Updating Directory Access for ALL Households in BULK 
  5. The Super Mass Update will update all households based on your search 

IMPORTANT NOTE:

If you don't use our software to track membership, updating directory access in bulk is very similar to  updating membership in bulk. Since you have to go through basically the same steps, we highly recommend using our software to track memberships and then updating access using the steps above.

Updating Households that Verified/Non-Verified Directory Access

  1. Use the search panel to find all Verified households with the Verification Status marked as Verified (this means they completed the Verification Wizard).  If you want unverified households you would select unverified instead.
  2. Click Search after you selected which group you are want to update
  3. Repeat steps 1-8 under Updating Directory Access for ALL Households in BULK 
  4. The Super Mass Update will update all households based on your search 

Updating Teachers/Staff and Others Directory Access

  1. Since Teachers/Staff and Others are typically not associated with an address, updating in bulk is done at the Settings level. 
  2. Navigate to School Settings > Setup
  3. Update Teachers default directory access by going to the Staff Settings section.
    1. Select the desired date or select the calendar icon in the Staff & Teacher Allow App Access Until field. 
    2. While you are on this page, update the Staff & Teacher Allow Email field. Check the box if you want to allow teachers to send emails to other users.
    3. Click Save when completed
  4. Update Others default directory access by going to the Default Values section.
    1. Select the desired date or select the calendar icon in the OTHER (user type) Access to Directory Until field.  This will change the access date for all Other user types not associated with a household.  Any user associated with a household is given the household access date.
    2. While you are on this page, you can update the Default Access to Directory Until field if you wish to change the default access today for any future Parents or Students added to the software.
    3. Click Save when completed
