Archiving Orders

Each year you can clean up the orders section without having to delete past orders. This article will walk you through Exporting Orders, Archiving Orders and Locating Past Orders.


Exporting Orders

  1. Navigate to Store > Orders.
  2. Click on Tool Icon in the upper right-hand corner and select Export Results from the dropbox. 

  3. By default, the data will export to an excel doc. You can update to another format but this is the recommended file. 
  4. Click on the Export button and the file will download to your computer. 
  5. Save this file for your records. 

Archiving Orders

  1. Go to Store > Orders.
  2. Use the filter Order Date on the left side to choose the date range of the orders you want to archive. 
  3. In this example, the date range selected from July 1, 2017 to September 30, 2017. 
  4. Click the Search button.
  5. This will pull up all of the orders processed in that time frame. 
  6. Select all of the orders and click the box at the top of this list. 
  7. (By default, you'll notice in the top right-hand corner of your screen that only the first 20 items will show on page 1, that's okay.. we'll talk more about updating all the items below in bulk shortly)
  8. Click on Update Selected
  9. Check the Archived box and update to YES.
  10. Check the Archived Date box and select today's date to archive. 
  11. Click on Update XX Records
  12. If your search had more than 20 records than you can choose "Super Mass Update ON" 
  13. It will now show all of the items in your initial search where you can update them all at once in a Mass Update
  14. Now choose update XX records
  15. The Orders page will then update and remove these Orders from your view because they are now successfully archived. 

Locating Past/Archived Orders

  1. Now that you have archived your orders, you can easily locate them by using the Filters on the left side of the page. 
  2. Update the Archived filter to YES

  3. Click Search.
  4. The Orders page will update with all of the Archived Orders
